  3. Day +2 (overdue): First overdue notice. Tone: "We haven't received your payment yet — please settle by [date] to avoid a late fee."
  4. Day +7 (escalation): Final notice with late fee added to the balance. This message is typically when ~95% of overdue tenants pay.

The key is consistency — every tenant gets the same sequence, on the same days, every month, automatically.

What to Include in Each Message

Every reminder should contain:

  • Tenant name (personalisation significantly improves response rates)
  • Property name and room/bed number
  • Amount due (and any outstanding balance from previous months)
  • Due date
  • UPI QR code or payment link (Razorpay, PhonePe, GPay)
  • A one-tap confirmation message the tenant can send back ("Paid ✓")

Handling Payment Confirmation

The operational hole that most operators miss: a reminder system without payment confirmation creates double work. You still have to manually check your UPI app to see who paid.

  • Razorpay payment link: Tenant clicks, pays, and the system automatically marks rent as paid via webhook. Slight 2% transaction fee but eliminates all reconciliation work. Recommended for operators with 10+ tenants.
